Who we are
This Privacy Policy explains what Dispatch Runner LLC ("Dispatch Runner", "we") collects, why, and the choices you have. It covers the Dispatch Runner app and the website at dispatchrunnerapp.com. Questions: [email protected] or .
What we collect
- Account details: your name, email, company, the country and time zone you work from, and your password (stored only as a scrambled hash).
- Billing: your plan and payment history. Card details go straight to our payment processor, Stripe. We never see or store your full card number.
- Your work in the app: carriers, brokers, loads, documents (rate confirmations, BOLs, PODs), notes and the people on your team.
- Phone: the numbers you call and that call you, call times and lengths, voicemails, call recordings if you turn them on, and texts sent and received.
- Email: if you connect an email account, the messages and attachments in it that Dispatch Runner reads to show your broker emails with your loads.
- Support: the questions you send us and our answers.
- Technical: sign-in times, IP address, browser type and a sign-in cookie. We don't use advertising cookies or sell ads.
- Website: if you fill in a form on our website, the name, email, company and message you type.
How we use it
- To run Dispatch Runner for you: place and receive calls, send texts, show your email, fill in loads, and keep your records.
- To bill you and keep financial records the law requires.
- To help you when you ask for support, and to keep the app secure (for example spotting fraud or break-in attempts).
- To send you account emails: trial reminders, receipts, security notices and important changes. Some of these are written by an automated assistant, and say so.
- If a salesperson invited you, to credit them for your account. They see your account's status (for example trial, active), not your calls, loads or emails.
- To keep Dispatch Runner's own load and broker information, described below under "Load, carrier and broker information we keep".
AI on our own server
Features like reading a rate confirmation into a load, or suggesting an answer to a support question, use an AI model that runs on our own server. Your data stays with us for these features and is not sent to an outside AI company, and it is not used to train AI models. A person checks every AI-suggested support answer before it's sent.
SMS / text messaging
- Who sends texts: Dispatch Runner customers (dispatchers) send and receive business texts with the brokers, carriers and drivers they work with, using a phone number in their Dispatch Runner account. Dispatch Runner may also text account owners about their own account (for example a sign-in code or a billing notice).
- Consent: people receive texts only after giving their number to the dispatcher or company for that purpose, for example on a rate confirmation, a carrier setup packet, or by texting the dispatcher first. Message frequency varies with the loads being worked.
- Opt out: reply STOP to any message to stop texts from that number. You'll get one message confirming you've been unsubscribed. Reply HELP for help, or contact [email protected] or .
- Message and data rates may apply. Carriers (phone companies) are not liable for delayed or undelivered messages.
- We do not sell, rent or share mobile phone numbers or text-messaging consent with anyone for their marketing. Text-messaging originator opt-in data and consent are never shared with third parties, except the phone company partners that deliver the messages.
Gmail and Google data
- If you connect Gmail, Dispatch Runner reads your messages and attachments to match broker emails to your carriers and loads, shows them in the app, and sends the emails you write in the app.
- Dispatch Runner's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
- We don't use Gmail data for advertising, don't sell it, don't use it to train AI models, and people at Dispatch Runner don't read it unless you ask us to for support, it's needed for security, or the law requires it.
- You can disconnect your email in Settings at any time, and remove Dispatch Runner's access in your Google account.
Who we share it with
We don't sell your information. We share it only with the companies that help us run Dispatch Runner, and only what each one needs:
- Phone and texting carriers – to place and receive calls and deliver texts;
- Payment processors – to take card payments (we never see or store full card numbers);
- Hosting, security and email delivery services – to run the website and app securely and send account emails;
- Your email provider – only if you connect an email account;
- Government carrier registries (such as the US Department of Transportation) – when you look up a carrier's or broker's MC or DOT number, we send that number.
Each of these may use your information only to provide its service to us.
We may also share information if the law requires it, to protect people from fraud or harm, or if the business is sold (the new owner would have to keep this policy).
Load, carrier and broker information we keep
- Dispatch Runner keeps its own copy of the business details from loads and rate confirmations that customers add – lanes (pickup and delivery city, state and ZIP), dates, equipment, type of freight, weight, miles, rates and extra charges – of carrier companies (name, MC/DOT number, addresses, phone numbers, business email, equipment and fleet size, insurance company, coverage amounts and expiration, and factoring company), and of broker companies and their contact people (name, MC/DOT number, addresses, phone numbers, business emails). It does not include drivers' personal details, documents, messages or calls.
- We use this only inside Dispatch Runner: to understand lanes and what they pay, to improve features such as rate checks and broker fraud warnings, and to keep carrier and broker directories. People at Dispatch Runner may look at it for those purposes.
- We never sell this information. If we ever show market information to customers, it will be combined and anonymous, so no customer, carrier, driver or single load can be identified.
- We don't copy load or broker details out of Gmail messages for this; only what customers enter or upload into Dispatch Runner (for example a rate confirmation file or a load form).
How long we keep it
- While your account is open, we keep your data so the app works.
- After an account closes, we keep it for 90 days so you can come back or get a copy, then delete it. Backups are cleared within a further 30 days. The load, carrier and broker information described above is kept separately and isn't part of that deletion; it never includes your messages, calls, documents or driver records.
- We keep billing records as long as tax law requires (usually 7 years).
- Website form sign-ups are kept until you ask us to delete them.
Your choices: a copy, changes and deletion
- You can see and change your details in Settings.
- Account owners can ask us for a copy of their company's data, or to delete the account and its data, by writing to [email protected]. We'll answer within 30 days.
- If you're a person whose details a Dispatch Runner customer stored (for example a driver or broker), contact that customer first; we'll help them handle your request.
- Depending on where you live (for example California or the European Union), you may have extra rights, such as to know, correct or delete your information. Write to us and we'll honor them as the law requires.
Customers outside the US
Dispatch Runner is run from the United States, and your information is stored and processed in the United States, including when you work from Pakistan or another country. By using Dispatch Runner you understand your information will be handled under US law, which may differ from your country's.
Security
We protect your information with encrypted connections (HTTPS), scrambled passwords, limits on who can see what (for example a dispatcher sees only their own carriers' loads), and regular backups. No system is perfectly safe; if a breach affects your information, we'll tell you as the law requires.
Children
Dispatch Runner is for businesses and isn't meant for anyone under 18. We don't knowingly collect children's information.
Changes to this policy
If we change this policy in a way that matters, we'll email account owners and show a notice in the app before it takes effect.
